Job Title - Public Affairs Coordinator
Location - Ontario, Canada
Duration- 12 months
Job Responsibilities:
The Public Affairs team is a critical function within Client, providing advice across internal and external communications, and patient advocacy. This small, yet experienced team works across all therapy areas, corporate reputation, social media and external engagement. The successful applicant will not only support the team on critical administration tasks, but own and implement our corporate giving initiatives across medical and community groups. This person will be responsible for day-to-day implementation of Client's ongoing corporate giving initiatives, closely working with colleagues in Public Affairs (across the therapy areas) to execute in a timely and accurate fashion, with maximum impact on our partners. The successful candidate will also provide administrative leadership, support, and financial management of the Canadian Grants Committee (corporate giving), including the development of best practices and guidance to the entire Canadian affiliate. How you will help ‘Create Possible’: Reporting to Public Affairs leadership, with a dotted line into Medical Affairs, this person’s primary responsibilities will be: Corporate Giving Communications
• Manage and oversee day-to-day of internal communications related to corporate giving, working with the necessary partners to inform the communication.
• Design and oversee an internal communication content calendar related to corporate giving (email, website, townhalls, etc.)
• Responsible for updating language on the Canada website (in close collaboration with Public Affairs) Grants Committee
• Administrative oversight and management of all Canada Grant Committee (corporate giving)
• Managing and liaising with all applicants from beginning to end of the process
o Working closely with Legal, Medical, and Canada colleagues to ensure alignment and the appropriate disclosures are made
• Financial oversight and management of the Grants Agreements, ensuring all administration, POs and GRC OpEx tracking/reporting
• Act as the first point of contact for external parties and potential applicant
• Ensure the Grants Committee page on the Canada website on is up-to-date and relevant for applicants
Team admin and Finance Management
• Supporting the team on a variety of approval systems and processes, from contracting, to POs, to Veeva, etc.
o Assist with compliance approvals and liaise with agencies and internal staff to ensure that items are uploaded on to the compliance system, Veeva
• Day to day support of the Public Affairs Budget/OPEX
• Assist with additional ad hoc duties when required
Knowledge, Experience and Skills
• 3+ years of related experience in biotech or pharmaceutical industry and or proven administrative experience within a fast-paced team is an asset.
• An advanced degree is desired
• Fluency in English required, fluency in French is an asset
• Proven ability to understand and clearly communicate on internal communications Proven knowledge of pharmaceutical processes and systems would be advantageous
• Ability to manage relationships with a high number of internal and external stakeholders
• Sound judgment and analytical skills, and strong team player
• Skilled at managing projects and working in a matrix environment
• Innovative approach and willingness to learn and adopt new ideas
• Resilience under pressure will be a distinct advantage in the role
